This site is available only for people who are a resident of the United States. If you are located outside the United States please do not use our services. By using our website and our services you agree to these policies, which may be updated from time to time.
Information We Collect
We collect the information you provide to us which is necessary to use our services. This includes your contact information. We also collect financial and payment information about you as needed to process any payments you make to us for the use of the services. We may also collect information about your use of our services. To the extent we have any business partners or affiliates, including third party marketing affiliates, we may collect information about the way you use our site to link to or access any services available on our site or through any links on our website that enable you to access those linked sites or services. We also collect technical information related to the use of our computer and online systems and information that we may use to effectively and efficiently provide our services.

- When you set up an account you provide us with your name, phone number, email address and other contact information. We also collect information on the forms or templates you download from our site and how you use the dental charting services we provide.
- When you use our services, you will provide medical and dental information about your patients to allow our services to assist you in preparing, maintaining, and updating the dental charts for your patients. The patient information you provide is used only for those purposes and is not used for any other purpose and is not shared with any third party. If you experience problems or technical issues with the use of our services certain limited patient information may be shared with our technical personnel to assist you in using our services and to solve any technical issues you have experience. In addition, certain aggregate patient information may be used to help improve the services and the way we provide those services.
- When you purchase services from us you will provide us with payment information and other information to allow us to process your payments, including credit card numbers, credit card information and sometimes banking or financial information. You authorize us to use this information for payment purposes and we may maintain this information for payment verification, accounting purposes and related purposes.
- If you contact our staff, we will collect any information you share with us during those communications.
- If you use any services of any of our business partners or affiliates, those partners and affiliates may share information about your use of their services.
- Our systems also generate information about your use of our services. We maintain that information. This includes information about your use of our services; technical information about the devices you use, such as your IP address and computer settings; and cookies or similar devices to assist us in identifying you and your devices as a member and user of our services and your preferences; and technical information in the event of any kind of computer or software issues or failures.

- We will principally use the patient information and data you provide to provide you with our dental charting services and to assist you in preparing your dental charts and patient record keeping.
- Using information to administer your account. This includes managing your account, providing customer service; communicating with you about our services; and potentially offer you additional services or promotions.
- Helping enhance and improve our services and to offer you new services.
- Allowing you to consider services offered by our business partners and affiliates.
- Allowing you to communicate with our staff as needed.
- Ensuring we can reliably provide you services and to address and improve any technical issues related to our services.
- Ensuring compliance with our terms of service.
- Assisting any members with any problems they may have.
- Taking steps to help make our services and those who use our services safer.
- Ensuring legal compliance: This includes complying with any applicable laws and regulations; and to assist law enforcement.
How We Share this Information
- With our Providers. To the extent we have third party services providers who assist in providing services, such as data hosting companies, ISPs, customer services providers and payment processors we share needed information with them to assist in providing our services. Generally, we only provide our third party providers with the information they need to provide the services they provide to us. In addition, we have agreements in place with our vendors to protect the information that they are provided from further disclosure.
- With Our Affiliates. We may engage business partners and affiliates to help market our services or who allow us to market their services to our members who may be interested in their services. Those partners and affiliates may be provided with certain limited information to allow them to market their services to our members.
- To Enforce Our Legal Rights. We have the right to use the information you provide: to help us defend any lawsuit or legal claims against us or to mitigate any damages we may incur in any such lawsuit or legal claim; to protect our legal right or the rights of our members, business partners or affiliates or other interested parties; to enforce our legal agreements with you; or to investigate, prevent or take any legal action to prevent any illegal activity or fraud.
- With Law Enforcement: We may disclose your information if we believe it is necessary or appropriate: to comply with any subpoena, court order, search warrant or law enforcement action or where otherwise legally required to be disclosed; to assist in the prevention of any criminal activity; or to protect the health or safety of any of our users, any of our employees or any third party.
- When you use our services, you will provide medical and dental information about your patients to allow our services to assist you in preparing, maintaining, and updating the dental charts for your patients. Any patient information or data you provide is used only for those purposes and is not used for any other purpose and is not shared with any third party. Please be aware that we do not generally store any patient or dental chart information you provide to us. This information is not retained by us and in most cases is deleted within 24 hours (and may be deleted sooner than that. It is your responsibility to ensure that all needed information and records are maintained in your dental charts or electronic medical records (emr) system.
- Any patient information you provide will be governed by the terms of the Lightning Dental Charts Business Associate Agreement which is incorporated into this Privacy Policy.
Your Rights
You have the right and ability to update the information in your profile at any time. If you have any questions or concerns about the accuracy of the information we have about you, contact us and we will assist in updating your information.
You can delete your account at any time and this will remove all account and chart information from your account. We will maintain certain information that has been provided to us in accordance with our data retention policies, but this is limited to contact information and account and billing information. This contact and account and billing information is retained for time periods legally required (or as long as recommended by our legal, accounting and tax professionals) for account, billing, and tax purposes.
You have the right to request a copy of the information we retain about at you any time. You can contact us at any time to request such a copy. You may request that we delete personal information about you at any time by submitting an appropriate request to us. You may also request at any time that we correct any personal information we have about you.
We reserve the right to request that you verify your identity and the information in your account before we provide you with any information about your account or any request to correct or update any information.
How Long We Retain Your Information Charting information stays for 24 hours.
We will comply with any applicable laws or regulations which require that we maintain any information about you or the services provided to you. In addition, we will generally maintain any information we have in our files about you for a minimum of 90 days after you close your account to allow for administrative reviews. All information related to any financial transactions will be maintained following the closing of your account for the time necessary account to allow for the completion of any required tax or accounting reporting and to comply with regulatory requirement and industry standard policies for record retention.
We reserve the right to maintain any customer records for an extended period of time in the event of any actual or potential legal disputes or investigations.
In the event of any legal disputes with you or regarding your account, we will retain all information we have about your account until after final termination of the legal dispute or any legal action.
No Children Allowed
Our services are limited to adults over 18 years of age. No one under 18 is authorized to use our services. We reserve the right to take steps to require age verification for use of our services.
Privacy Policy Changes
We reserve the right to modify, amend or revise this privacy policy at any time. We will post any updated policy on our website and in our app. Those updated policies will be effective once they are posted.
